For our London office we are seeking an Office Manager.

 

Travelzoo is looking for an Office Manager in our London office. The person will be the interface for internal employees, building management and external vendors.

 

Your role:

 

  • Overseeing the smooth operation of our London office - this includes providing general administrative support such as facility management, equipment maintenance and fielding ad-hoc queries as required
  • Shaping and influencing our company culture through various projects
  • Providing high level administrative support to the General Manager and Senior Management Team including diary management, domestic and international travel arrangements and expenses
  • Organising regular social events and setting up the agenda of events for each office
  • Coordinating CSR Activities in London
  • Setting up and managing suppliers, ensuring that the office is stocked with stationery and kitchen supplies, maintaining relationships with vendors
  • Liaising with cleaning contractors and the building manager regarding facility management and maintenance
  • Managing office related expenditure – recording & processing invoices and recording & reporting expenditure
  • Managing Health and Safety and fire regulations
  • Being the first point of contact for any operational issues & dealing with these in a timely fashion
  • Managing all desk moves, office renovations / works
  • Assisting in the organization of company events
  • Managing postal administration and ordering business card ordering 
  • Booking meeting rooms using Outlook
  • Communicating important office-related updates and issues to staff as required
  • Dealing with business insurance where necessary (including PI)
  • Picking up adhoc duties as they arise
  • Organize and schedule meetings for the General Manager and Senior Management Team

 

Your profile:

 

  • Solid professional experience preferably as an Office Manager and/or Executive Assistant
  • Strong experience in event management
  • Strong organisational skills, multi-tasking skills
  • Can-do attitude, proactivity
  • Advanced skills in Microsoft Office (Word, Excel, Powerpoint, Outlook), knowledge of Concur and Egencia systems advantageous but not essential
  • Ability to take control and manage tasks independently
  • Team player with excellent communication and interpersonal skills who enjoys and is comfortable interacting with staff at all levels in the organisation
